Seriously. Embracing essentialism with your tech isn't about being cheap; it's about being smart . It’s about reclaiming your precious time & energy – resources that, as a busy woman & likely a mother, are worth more than gold. It’s about cultivating clarity & reducing that soul-crushing overwhelm so you can channel your brilliance into what actually moves the needle: connecting with clients & delivering amazing coaching. It’s about building efficient workflows from the get-go, so your business energises you rather than drains you. The Core 3-4 Tech Categories You Actually Need (No Fluff Allowed!) Forget the complicated webs of integrations & the endless feature lists for now. To get your coaching business off the ground, to book those first clients, & to get paid, you really only need to focus on a few key areas. 1. Scheduling Sanity: Making it Easy for Clients to Book You Waving goodbye to the endless email ping-pong trying to find a time that works for everyone? Yes, please! A simple online scheduler is a non-negotiable. What to look for: User-friendliness (for you & your clients!), reliability, the ability to sync with your personal calendar (goodbye double bookings!), & ideally, options to take payment upon booking for paid sessions. Many offer free plans that are perfectly adequate when you’re starting. Why it's essential: It makes you look professional, saves you a monumental amount of admin time, & gets those discovery calls & paid sessions into your diary smoothly. This aligns perfectly with creating momentum through streamlined systems. 2. Getting Paid (The Fun Part!): Simple & Secure Payment Processing Let’s make this bit as joyful as possible! You need a straightforward way to invoice clients & accept payments online. What to look for: Reputable, secure platforms that are easy to set up. Low transaction fees are a bonus, but reliability & ease of use are paramount. Think PayPal, Stripe, or similar services that integrate with schedulers or allow simple payment links. Why it's essential: Because you deserve to be paid for your expertise, promptly & without fuss! A smooth payment process builds trust & keeps your cash flow healthy. It embodies the principle that money is an exchange of energy for the value you provide – & honestly, you're worth it! 3. Connecting with Clients (Virtually, Like a Pro): Reliable Video Conferencing For most coaches starting out, your sessions will be online. So, a reliable video conferencing tool is a must. What to look for: Again, ease of use is king! Good video/audio quality, screen sharing capabilities (for showing slides or resources), & ideally, recording options if your clients find that valuable (always get consent!). Zoom, Google Meet, or Whereby all have free or affordable options. Why it's essential: This is where the magic happens! A stable, easy-to-use platform ensures your coaching sessions are professional & focused on your client, not on tech glitches. Honestly, it’s like having a reliable stage for your brilliance. I remember trying to run an important meeting once while my toddler daughter had decided to test the acoustics of the room with a toy drum – a reliable mute button is also your friend! 4. Basic Client Comms & Sharing: Keeping it Clear & Contained Beyond your live sessions, you’ll need a simple way to communicate with clients, share resources, or set pre-session tasks. What to look for: Don’t overcomplicate this! For starting out, this could be as simple as: Dedicated Email: A professional email address (not your personal Hotmail from 1998!). Shared Cloud Storage: A simple Google Drive or Dropbox folder for sharing worksheets, session notes, or resources. Why it's essential: Clear communication & easy access to shared materials enhance the client experience & keep things organised for you. No need for a fancy client portal from day one. And that’s pretty much it. Seriously. Three, maybe four, core categories. Notice I haven't mentioned a complex website builder, a fancy CRM, intricate email marketing software, or a sophisticated course platform. Those things can come later, if & when your business grows & genuinely needs them. For now, focus on building solid foundations. Focus on Function, Not Frills: Choosing Smart from the Start When you’re looking at tools within these categories, my biggest piece of advice is to ask yourself: “What is the primary job I need this tool to do for me RIGHT NOW to help me get clients & get paid?” Don’t get distracted by a million bells & whistles you won’t use for another year. Don’t fall for the "shiny object syndrome" – that new tool everyone’s raving about might be brilliant, but is it essential for you , today ? Prioritise ease of use & reliability over a long list of advanced features. If it takes you a week to figure out how to send an invoice, it’s not the right tool for you at this stage. This is about taking personal responsibility for your choices & being strategic. It's about working smart, not just hard, & leveraging tools that serve you , not the other way around. It’s a bit like choosing what to pack for a trip: you want the essentials that will actually get you where you need to go, not a bunch of fancy outfits you’ll never wear! To give you a real-world example, I see so many new coaches get caught up in needing a sophisticated CRM (Customer Relationship Management) system from day one, with all its tagging & automation capabilities. Honestly, when you're just starting, a well-organized spreadsheet to track your leads & clients is often more than enough! All those CRM bells & whistles become a distraction, taking you away from actually connecting with people. Or they want all the new AI features when the basics will do! I vividly remember trying to create a "professional" Instagram post about my coaching services, only to end up deleting it five times because it felt so forced & inauthentic. I'd spend hours crafting the "perfect" caption, agonizing over every word, & still, it just didn't feel right. It was a classic case of overthinking & ultimately, it just didn't connect. Looking back, I realise I was so caught up in trying to sound like a "marketing expert" that I'd completely lost my own voice. The lesson? Authenticity trumps everything. Always. Especially when you're connecting with other women. Don't worry, I've totally been there. Picture this: me, attempting a "professional" Facebook Live, desperately trying to explain the power of mindset to my audience, all while my toddler decided it was the perfect moment to stage a dramatic protest against wearing trousers – complete with theatrical sobs & a refusal to budge from the floor. Meanwhile, Espresso, our hyper-energetic Miniature Pinscher, saw the whole thing as an invitation to join the performance, barking excitedly at the "drama" & trying to "rescue" my toddler by licking her tears. What tangible difference will she experience after working with you? Paint a picture of her transformed reality. For example, will she finally be able to take that family vacation she's been dreaming of, without the constant stress of checking emails? Will she have the confidence to finally launch that online course she’s been putting off? Will she feel less overwhelmed & more in control of her business & life? Focus on the feeling , not just the feature. This approach helps address the deeper emotional needs & aspirations driving her desire for change. How We Work / Business Flourish Framework Shifting Your Mindset: Overcoming the "Ick" One of the biggest blocks I see with female entrepreneurs is the fear of being "salesy." We’ve been conditioned to believe that promoting our businesses is pushy & manipulative. Research from Clutch (2023) shows that 85% of women feel uncomfortable with traditional sales tactics. Hey lovely ladies, Ever feel like you’re walking a tightrope, balancing a million things – kids, partner, business, that never-ending to-do list that seems to regenerate faster than a hydra? And then, just when you think you’ve got it all figured out, BAM! You trip. A launch flops, a client ghosts, you discover the school-aged one decided to recreate Jackson Pollock in the living room using your most expensive foundation as the medium. Sound familiar? It's the kind of organised chaos that inspired the whole ethos of Femmeprenista, because let's be honest, who hasn't been there? It’s in these moments, when the dust settles & the crisis is averted (usually with a glass of wine & a hefty dose of humour – seriously, what else can you do?), that your mindset – that core, unshakeable Focus – becomes your superpower. This isn't just some woo-woo affirmation, this is a strategic business decision. Why? How can I possibly 'have it all together'?" Truth be told, before this principle became my bedrock, I struggled with it big time. I mean, really struggled. There were tears, there was chocolate, there was a serious questioning of my sanity (and entrepreneurial capabilities). It took time, and a lot of messy, imperfect practice, to truly embody this. So if it feels hard, you're not alone. My path, just like yours, has been anything but a straight line. It’s been more of a jungle gym – climbing, swinging, occasionally face-planting into the soft play (metaphorically, of course!), but always, always getting back up. & trust me, there have been enough "toddler decided to finger paint the walls with yogurt" moments to fill several seasons of a reality TV show (though I suspect mine would be more "tragicomedy" than "glamorous"). Like that time I was trying to have a serious business conversation with my personal workaholic, while also attempting to stop our toddler from using the dog’s water bowl as a hat. Let’s just say it wasn’t my most “CEO of Femmeprenista” moment. It definitely tested my Resilience: Thriving in Entrepreneurship's Beautiful Chaos . This journey, this rollercoaster of entrepreneurship & motherhood – it’s where the "no failure, only feedback" mindset, the cornerstone of true Focus , becomes your lifeline. It's about reframing those perceived "setbacks" – that product launch that went down faster than my toddler daughter’s blood sugar after a sugar rush, the client who vanished without a trace (taking your carefully crafted proposal with them!), even that ill-fated attempt at a “working film night” with my partner that ended with us both falling asleep with our laptops balanced precariously on our chests – as valuable data points. Each "oops" is a lesson in disguise. Each stumble is a step forward, even if it feels like a step backward in the moment. As my PhD research into Black female entrepreneurship often highlights, resilience is not just about bouncing back; it's about learning from the bounce. Let me share a quick story. Picture this: me, about eight months pregnant with my third daughter, trying to finish my coaching certification, while simultaneously managing a full-time corporate gig (remember feeling like a “replaceable cog?” Yeah, that was peak “cog” era), & the eldest, bless her teenage heart, navigating the hormonal roller coaster of early adolescence. Let’s just say "calm" and "organized" were not words frequently used to describe our household at that time. My certification took longer than planned, because, well, life. But that "delay," that perceived "setback" to stick to my initial timeline, taught me something incredibly valuable: it's okay for a journey to look different. It's okay to be the tortoise, not the hare, as long as you keep moving. As long as you own your pace & celebrate those small, consistent steps forward. That experience, in hindsight, was essential feedback, a reminder that progress isn't linear, especially when you're juggling so many roles. It strengthened my resolve to help other women, especially Foundation Builders at the beginning of their journey, navigate their unique paths, celebrating the "slower" but no less valid journeys. How to Practically Apply "No Failure, Only Feedback" So, how do you practically apply this magical "no failure, only feedback" mindset in your own life & business? Here are a few juggler-approved strategies that have helped me (and countless other women) turn setbacks into stepping stones: The Post-Mortem Power-Up: After any setback, big or small (from a website crash to a disastrous attempt at baking a birthday cake that resembled a geological formation more than a dessert), schedule a "post-mortem" with yourself (and maybe a trusted friend, business bestie, or even your furry companion – Cappuccino is a surprisingly good listener, though Espresso tends to offer solutions involving chewing on whatever’s closest). I’m balancing four children, a PhD, & home life while growing Femmeprenista & Thrivology. My days often start with a frantic search for a missing school shoe while simultaneously trying to answer emails and stop the toddler from using the dog's water bowl as a hat – it’s a special kind of organized chaos. It creates the space for clear thinking, strategic planning, & the resilience to handle whatever curveballs life throws your way (and trust me, as a mum of four, I know a thing or two about curveballs!). Explore the Business Flourish Framework From Guilt to Growth: Reframing Self-Care So how do we shift this ingrained belief that self-care is selfish? It starts with reframing it. Think of self-care not as something you should do, but as something you deserve to do. It’s an investment in your well-being, which is an investment in your business. When you're feeling grounded, energized, & clear-headed, you're a better leader, a better parent, & a better entrepreneur. It's like that "aha" moment I had during my MBA at Cranfield. I was juggling classes, a nine-month-old, & all the demands of family life, feeling completely overwhelmed. It would have been easy to just keep pushing, but I realized something had to shift. I started incorporating small self-care rituals – even just 15 minutes of quiet time before the kids woke up – & it made a world of difference. It allowed me to show up more fully, both in my studies & as a mum. Remember that time I had to step away from recording a podcast because my teenage daughter’s impromptu karaoke session turned the house into a concert hall? (She has a great voice, just not podcast-appropriate timing!). It was frustrating, yes, but stepping away for a few minutes to laugh about it with her (and remind her about headphones) actually helped me come back to the recording feeling refreshed & more focused. It reminded me of that principle: sometimes, stepping away from the intensity, like my youngest learning to ride her bike, can actually lead to a breakthrough. Think about that. What if, instead of seeing self-care as something that takes away from your business, you saw it as something that gives to it? Practical Self-Care Strategies for the Time-Starved Entrepreneur (aka You!) Now, I know what you're thinking: "Carlene, that all sounds great, but I barely have time to shower, let alone schedule a spa day!" I get it. I'm right there with you, navigating the chaos with four kids, a PhD, two crazy dogs, & let’s not even talk about how much the price of everything seems to go up these days while salaries stay the same – seriously, is it just me, or has the price of a block of cheese skyrocketed?! It can feel like we Millennials really did get the bad end of the stick. It often feels like we’re juggling more responsibilities, with less support & fewer resources, than previous generations. But remember: self-care doesn’t have to be extravagant or time-consuming. It’s about small, consistent actions that nourish your mind, body, & soul. Here are a few ideas to get you started: The 5-Minute Reset: Feeling overwhelmed? Set a timer for 5 minutes, close your eyes, & just breathe. Focus on the present moment. Try the Calm app – it has some great guided meditations for beginners. You’d be surprised how much a few minutes of focused breathing can clear your head. It's like a mini-reboot for your system. Move Your Body (Even a Little!): You don't need to run a marathon. A brisk 20-minute walk around the block, a 10-minute yoga flow on YouTube (Yoga with Adriene is my go-to!), or even a spontaneous dance party with your kids can boost your energy & mood. This isn't just about physical health; it’s about shifting your energy & getting back into a state of flow. Remember, a little movement can go a long way! Nourish Your Body: Fuel your body with healthy, energizing foods. I know, sometimes a glass of wine & a takeaway feels like self-care (and hey, I’m not judging!), but think about adding more fruits, vegetables, & lean protein to your diet. Start small – swap that sugary afternoon snack for a handful of almonds or some fruit. Small changes can make a big difference. You’ll feel the difference in your energy levels. Just like your business needs the right fuel to thrive, so does your body! Set Boundaries (and Stick to Them!): This is a big one. Learn to say “no” to things that drain you & “yes” to things that fill you up. This can be tough, especially for us women, but it’s about protecting your time & energy like the precious resources they are. This means setting clear work hours, communicating your availability to clients, and not overcommitting yourself. What’s one boundary you can set today to protect your energy? Remember that “if you don’t own your calendar, your calendar will own you,” & that applies to self-care too. Celebrate Your Wins (Big & Small!): This is key! Acknowledge your progress, no matter how small. It's easy to get caught up in what we haven't achieved, but celebrating our wins, even tiny ones, builds momentum & boosts our confidence. It was like I was allergic to closing the sale! I'd fumble with my words, avoid eye contact, & practically usher them away from my stall. Cringe, but true! It was a painful realization that passion alone wasn't enough; I needed to get comfortable with the "selling" part. But then I shifted my perspective. What are their biggest pains, fears, desires, & dreams? What language do they use? When you can articulate their problem better than they can themselves, they’ll instantly trust that you have the solution. This isn't about manipulation; it's about empathy & deep listening. If you are targeting Millennial mums juggling a business and kids, acknowledging the "12-13 weeks of school holidays" challenge in your messaging will instantly resonate.     The Benign Neglect of the Entrepreneurial Parent (or, How My Kids Taught Me Strategic Imperfection) Right, let’s be honest. If you're a Foundation Builder, juggling clients, team, & family responsibilities while getting your business off the ground, how many times have you, mid-Zoom call, desperately tried to mime “Mummy’s working!” to a small human brandishing a rogue sock puppet? I’m not talking about neglecting my children’s well-being (they are my world, after all!). I’m talking about the inevitable trade-offs, the strategic imperfections, & the little (or sometimes not-so-little) things that fall through the cracks when you’re pouring your heart into multiple passions. Or maybe you’ve presented a seemingly flawless webinar, while silently praying your toddler wouldn’t discover the joys of finger painting… on the newly painted living room wall (just me?). If this sounds even remotely familiar, then welcome, my friend. You are officially inducted into the chaotic, beautiful, & often hilarious club of the Entrepreneurial Parent. As a mum of four, a PhD student, & the CEO of not one, but two businesses (Femmeprenista & Thrivology Digital - someone send coffee!), the concept of “balance” often feels like a mythical unicorn prancing on a rainbow. It’s something I strive for, but honestly, most days, it’s more like a beautifully orchestrated juggling act where the occasional ball does drop. And you know what? I’m learning to be okay with that. I vividly remember one particularly chaotic morning trying to finalize a presentation for a key client. Picture this: toddler throwing a tantrum because her toast wasn't cut into triangles (the horror! ), my six-year-old having a meltdown because her favourite unicorn headband had mysteriously vanished (probably abducted by the sock puppet from earlier), & me, frantically trying to add the finishing touches to my slides while simultaneously mediating a truce involving promises of extra screen time & a unicorn-themed treasure hunt. Let's just say, my carefully rehearsed opening lines went out the window the moment the client joined the call. But, you know, we still nailed the presentation! It’s about consciously choosing where to focus your energy & accepting that certain things will inevitably get less attention, at least for a season. A 2022 study by the Global Entrepreneurship Monitor ( https://www.gemconsortium.org/ ) found that women entrepreneurs with children under 18 were significantly more likely to report challenges balancing work & family demands. This resonates deeply with my own experience & the experiences of so many women in our Femme Connect community. Initially, I tried to compartmentalize everything perfectly: Dedicated work blocks Strict family time Scheduled self-care But it just wasn’t realistic. Life, especially with four kids & two very energetic Miniature Pinschers (Cappuccino & Espresso, my furry little chaos-makers!), is just too unpredictable. In my PhD research, I'm exploring this very tension between the idealized image of the "balanced entrepreneur" and the lived reality of women juggling multiple roles. It's clear that a one-size-fits-all approach simply doesn't work. What finally clicked for me (and what I’m seeing in my research) is that "balance" isn't about rigidly adhering to a schedule; it's about building resilience, designing flexible systems, and owning your choices. It's about recognizing that sometimes, you're the tortoise, not the hare, and that slow, consistent progress is still progress. Prioritising my well-being makes me feel as though I'm a whale, strong enough to create my own current & navigate whatever comes my way! One incredibly stressful week, deadlines were looming, the kids were bouncing off the walls (literally – they'd discovered a new trampoline park video on YouTube), & I felt like I was drowning in to-dos. I knew I had to implement that "15 minutes of self-care" advice I kept preaching, or I was going to lose it. I locked myself in the bathroom (the only room with a lock!), put on some calming music, & just breathed for 15 minutes. It felt like a tiny drop in the ocean of overwhelm, but it was enough to reset my frazzled brain & tackle my priority tasks with a little more sanity. It’s a simple system, but it works. What’s your go-to sanity saver? From Guilt to Grace: Letting Go of Perfectionism I know many of us carry this heavy weight of “mum-guilt” when we’re not able to do it all perfectly. We berate ourselves for the missed school play or the slightly burnt dinner (or the rogue banana peel incident – it still haunts me). But I'm learning to replace guilt with grace, both for myself & for my fellow female entrepreneurs. Hard work & smart work are essential, yes, but so is self-compassion. What's one area where you can give yourself a little grace today? Communication is Key (& Laughter is Essential) Open communication with your family is crucial. My partner & I regularly check in, making sure we’re on the same page about who’s handling what (he's my rock, my personal workaholic, & a fellow PhD student, which makes for some interesting study sessions!). We don't shy away from talking about the challenges, the compromises, & yes, sometimes even the resentment that can surface when the pressure’s on. And trust me, sometimes those study sessions involve more deciphering toddler-babble or mediating a dog-toy tug-of-war between Cappuccino & Espresso than actual academic discussion! It's all part of the juggle. Remembering to laugh at the absurdity of it all is truly a lifesaver. Let’s just say it wasn't the "polished professional" look I was aiming for. Talk about a mindset wobble! But, just like I tackled that sticky situation (with a hefty dose of baby wipes & a prayer!), we can tackle these visibility fears, too. Remember, my loves, a rich life isn't about avoiding the mess; it's about navigating it with grace & a good cleaning solution (both for laptops & for mental clutter!). For me, even 15 minutes of uninterrupted brainstorming for a new project can feel incredibly recharging. Analyse Your Findings (Connect the Dots): Look at your lists of drains & rechargers. Are there any surprises? Are there activities you thought were relaxing but actually drain you? Are there rechargers you’re not making enough time for? This self-awareness is pure gold. The real magic, the sustainable change, happens when you translate those insights into a personalised energy restoration & protection plan. This is where you take back control. Minimise Those Drains: Delegate or Ditch: Can some draining tasks be delegated, outsourced, or simply stopped altogether? (Seriously, does it really need to be done by you ?) Set Boundaries: If certain interactions are draining, can you limit them, change the dynamic, or protect your energy beforehand? This might mean shorter meetings, saying "no" more often, or consciously managing your mindset going in. Reframe: Can you change your perspective on certain tasks to make them feel less draining? For example, if you find admin tasks mind-numbing, reframe them as vital steps towards achieving your bigger vision – you’re not just filing receipts; you’re building a solid foundation for your dream life! Sometimes a shift in mindset is all it takes. Systemise: Could better systems or processes reduce the energy required for repetitive tasks? Think about implementing smart AI tools to truly streamline your processes – it can be a game-changer. For example, you can use AI tools that allow you to automatically create blog content with just a fraction of the time it used to take. Maximise Those Rechargers: Schedule Them In: Treat your energising activities with the same importance as client meetings. Block out time in your calendar for them. Non-negotiable. Protect Sacred Time: Identify times of day when you naturally have more energy for certain types of work. Protect this time fiercely for your most important, energising tasks. Integrate Micro-Rechargers: You don’t always need an hour. What small things can you do throughout the day to top up your energy?
