For many new entrepreneurs, especially those of us who identify more as "people people" than "tech people," the technological side of starting a business can feel utterly terrifying. It’s often presented as this complex, impenetrable fortress you have to conquer before you can even think about getting your first client. Add in the constant chorus of gurus promoting the "latest & greatest" (& usually priciest) tools, & it’s enough to make anyone feel inadequate.

I remember when I was first starting out with my own ventures, long before Femmeprenista. Juggling a new baby (my eldest daughter, now a full-blown teenager!), trying to understand the back end of a website whilst simultaneously trying to stop said baby from eating the corner of the instruction manual… let’s just say "overwhelm" was an understatement! I remember spending an entire weekend trying to integrate my CRM, only to realize I'd been using the wrong API key the whole time! Honestly, some days it felt like trying to learn a new language whilst riding a unicycle on a tightrope. And if one of our Miniature Pinschers, Cappuccino or Espresso, had been around then, I dread to think what extra chaos they would have added to the mix! It's like when my daughter learned to ride her bike; it suddenly clicked when she wasn't trying so hard, & she was just having fun with her friends. The same goes for tech – take the pressure off, & you'll be amazed at how quickly it clicks.

The "Bare Essentials" Tech Stack: Simplicity is Your Superpower

Forget the complicated, all-singing, all-dancing platforms for now. When you’re starting out as a coach, your priority is to connect with clients, deliver your amazing coaching, & get paid. That’s it. Everything else is secondary. As Myron Golden says, "Poor people Major in minor things. Wealthy people Major in Major things." Let's major in the major things.

So, what does a "no-nonsense" starter tech stack look like? It’s beautifully simple, user-friendly, & cost-effective. This isn't about mastering complex software; it's about implementing smart, simple solutions that create efficient systems & allow your business to truly flow from the outset. & as we believe, "The cashflow in your business follows your calendar; if you’re not owning your calendar, it will own you!" You have to schedule time for these actions to happen.

Here are the absolute essentials I recommend for new coaches:

  1. A Simple Scheduling Tool:

    • Why it’s crucial: Endless email back & forth trying to find a meeting time? No thank you! A good scheduling tool automates this, makes you look super professional, sends out reminders (reducing no-shows), & can often handle intake questions. It’s a massive time-saver & sanity-preserver. Studies show that using a scheduling tool can save up to 5 hours per week!

    • What to look for: Ease of use, integration with your calendar (e.g., Google Calendar, Outlook), ability to set your availability, & options for different appointment types. Many have excellent free or very affordable starter plans.

  2. Professional Email Communication:

    • Why it’s crucial: Whilst your personal email might seem fine, having a dedicated business email address (e.g., yourname@yourbusinessname.com rather than yourname123@gmail.com) instantly boosts your credibility. It’s also vital for keeping client communications organised.

    • What to look for: Reliability, ease of use, sufficient storage. Many web hosting packages come with professional email addresses, or you can use services like Google Workspace for a small monthly fee. For now, we’re not talking complex email marketing sequences, just solid, professional one-to-one communication.

  3. Reliable Payment Processing:

    • Why it’s crucial: You need a simple, secure way for clients to pay you. Making this difficult is a surefire way to create friction.

    • What to look for: Reputable platforms (like Stripe or PayPal are common starting points for many), ease of setup, reasonable transaction fees, & the ability to send invoices or set up recurring payments if needed for coaching packages.

  4. Basic Client Communication & File Sharing:

    • Why it’s crucial: You’ll need a way to communicate with clients between sessions & perhaps share resources like worksheets or recordings.

    • What to look for: Again, simplicity is key. This could be as straightforward as dedicated email folders, a shared Google Drive or Dropbox folder, or even using the features within your video call software (like Zoom or Google Meet, which many use for coaching calls anyway). Don't overcomplicate it; just ensure it's secure & easy for both you & your clients.

  5. (Optional but Recommended) A Simple Online Presence:

    • Why it’s crucial: Even a basic one-page website or a professional-looking landing page gives you a central place to direct potential clients, tell them what you do, who you help, & how they can work with you. It’s your digital shop window.

    • What to look for: User-friendly website builders (like Canva now offers, or other simple platforms) that don’t require coding. Focus on clarity: who you are, what you offer, your call to action (e.g., "Book a Discovery Call").

Pick one area (e.g., scheduling), research simple tools, choose one, & focus on getting that set up & working smoothly before moving to the next. Baby steps are still steps forward! I remember when I was getting my MBA at Cranfield, with my second daughter just a baby, the sheer volume of information was immense. The only way through was to break it down, piece by piece. Same with tech. Troubleshooting tip: always start with the official help documentation – it's usually clearer than random forum posts!   • User-Friendly is Non-Negotiable: If a tool’s interface looks like the cockpit of a space shuttle & the tutorials are all in impenetrable jargon, it’s not for you right now.   • Embrace "Good Enough": Perfectionism is the enemy of progress, especially with tech. Your starter systems don’t need to be flawless or have every conceivable bell & whistle. They just need to work & serve their core purpose. You can refine & upgrade later as your business grows.
