As a fellow CEO, a mum of four juggling more spinning plates than a circus performer & someone who’s been in the entrepreneurial trenches for years, your budget is often tighter than your favourite pre-baby jeans, & your energy? Well, that’s precious gold dust, isn’t it? And overwhelm? Practically a given! I remember early on, convinced I needed all the things, I spent a small fortune on a CRM I never even logged into! I lost a whole afternoon trying to integrate it, only to realise it was way more complex than I needed at that stage. I missed my eldest daughter’s school play because of it – talk about mum guilt! Lesson learned – keep it simple, sister!

The last thing you need is a complicated or eye-wateringly expensive tech stack. Honestly, the internet is awash with people pitching the 'next big thing' – those shiny new tools that promise to solve all your problems but often just add another layer of complexity and another dent in your bank account. Your Online Welcome Mat – Simple Visibility

Why it’s essential (especially for mums): You need a simple way for potential clients to find you, learn what you do, & see your credibility. When you're juggling school runs, nursery pick-ups, & those precious nap-time work sprints, you don't have hours for complex website updates. Simple is absolutely key.

What to look for: Easy to set up, professional-looking, low or no cost to start.

Tool Ideas:

  • A Basic Social Media Profile: Choose ONE platform where your ideal clients hang out (e.g., Instagram, LinkedIn, Facebook) & make your profile clear & professional. Canva (more on this wonder-tool later!) can help you create lovely profile pictures & banners.

  • A Simple Landing Page/One-Page Website:

  • This doesn’t need to be an all-singing, all-dancing website initially.

  • Tools like Carrd, Linktree (using its more advanced features for info), or even a well-designed landing page through MailerLite or Mailchimp (often free to start) can give you a central place to direct people.

  • Canva now even offers simple website creation!

Carlene's Tip: I remember when I first started, the thought of building a full website felt like needing to learn another language while simultaneously trying to get a toddler to eat their greens – utterly overwhelming! Start small. A clear LinkedIn profile or a simple landing page saying who you help & how is often enough to get those first conversations started.

Banishing Calendar Chaos – Easy Scheduling

Why it’s essential: Honestly, playing email ping-pong to find a time for a discovery call is a massive time drain – & frankly, looks a bit unprofessional. As a busy mum, your time is precious; automate this part of your life!

What to look for: Syncs with your existing calendar, allows clients to self-book, sends reminders (to reduce no-shows!), free or affordable.

Tool Ideas:

  • Calendly: The free plan is incredibly robust & is a firm favourite for a reason.

  • Acuity Scheduling (now part of Squarespace Scheduling): Often has good entry-level options worth exploring.

  • Google Calendar Appointment Scheduling: If you use Google Workspace, this is a built-in free option that’s surprisingly powerful.

Carlene's Tip: Set clear availability in your scheduler that works around your life – school pick-ups, focused work blocks, maybe even that sacred hour when the baby finally goes down for a nap. Don’t feel you have to be available 24/7. Your scheduler is your friendly gatekeeper!

Keeping Connected – Seamless Client Communication

Why it’s essential: Clear, professional communication builds trust & makes for happy clients. You need a reliable way to share information, answer questions, & host your coaching calls without tech gremlins gate-crashing.

What to look for: Reliability, ease of use for both you & your clients, affordability.

Tool Ideas:

  • Professional Email: Using a generic Hotmail or Gmail for business doesn't always cut the mustard long-term if you want to build a professional brand. Google Workspace or Microsoft 365 offer professional email (yourname@yourbusiness.com) affordably, plus cloud storage & video conferencing tools.

  • Video Conferencing: Zoom has a good free plan for one-to-one calls (though group calls are time-limited, so bear that in mind if you plan group sessions). Google Meet is also excellent & often included with Google Workspace.

  • Between-Session Support (Optional & with Boundaries!): Tools like Voxer (voice messaging) or even a dedicated WhatsApp (with clear usage guidelines communicated upfront!) can be great for quick check-ins. But please, please set boundaries on your availability, or you’ll find yourself replying to messages at 10 pm while trying to wrestle a child into pyjamas!

Carlene's Story: Oh, the early days of trying to coordinate calls without a proper system! Honestly, I once double-booked myself spectacularly because I was manually juggling emails & my personal calendar. My eldest daughter, who was about primary school age then, actually pointed out my mistake with a very serious face, holding up two conflicting diary entries I’d scribbled down on scraps of paper. Lesson learned: automation is your friend! A dedicated professional email also stops important client messages getting lost amongst school newsletters & those tempting online shopping confirmations.

Get Paid, Honey! – Secure & Simple Payments

Why it’s essential: You’re running a business! You need a straightforward, secure way for clients to pay you. Chasing invoices is no fun for anyone, & it takes you away from the work you love.

What to look for: Low transaction fees (as much as possible!), easy for clients to use, integrates with invoicing if possible.

Tool Ideas:

  • Stripe: Widely used, trusted, & integrates with almost everything. It’s my personal go-to because of its robust security features and its ability to automate recurring billing, which is perfect for coaching packages.

  • PayPal: Another well-known & easy option for clients, particularly internationally.

  • Your Bank’s Own Transfer System: For UK clients, direct bank transfers can be an option, but ensure you have a clear invoicing system to keep track.

Carlene's Tip: Make your payment process super clear in your welcome pack or contract. State your terms, how to pay, & when payment is due. This avoids awkward conversations later. And let me tell you, when that first payment notification pings through – it’s a brilliant feeling, a real validation of your hard work & the value you’re bringing!

Sharing Your Wisdom – Straightforward Content & Resource Delivery

Why it’s essential: If you provide workbooks, recordings, or other resources to your clients (& you probably will!), you need an easy & reliable way to share them.

What to look for: Easy to upload & share, accessible for clients (no complicated logins if possible), secure.

Tool Ideas:

  • Google Drive / Dropbox / OneDrive: Excellent for storing & sharing documents, spreadsheets, & video files.

  • Create shared folders for each client to keep things organised & private.

  • Label each folder with their name & start date for easy reference.

  • Email: For sending individual resources directly, especially if they’re not too large.

  • Private YouTube/Vimeo Links: If you're sharing video replays of sessions or training modules, uploading them as unlisted or private videos is a simple solution.

Carlene's Story: I was chatting with a lovely new coach the other day – a brilliant mum with two little ones – & she was so tied up in knots about choosing the 'perfect' client portal. She'd spent weeks researching, feeling like she couldn't possibly launch until this one piece was in place. It’s really funny, because I've SO been there. We talked it through, & realised for her stage, a simple shared Google Drive folder for each client was all she needed to deliver her workbooks & session notes beautifully. The relief on her face was incredible! That's the power of keeping it simple.

Looking the Part – Basic Design & Content Creation

Why it’s essential: Professional-looking graphics for social media, presentations, or simple workbooks elevate your brand, even on a tight budget. It shows you care about the details.

What to look for: User-friendly (even for non-designers!), templates available, free or low-cost plan that’s genuinely useful.

Tool Idea:

  • Canva: This is the absolute hero for most new entrepreneurs, & for very good reason. The free version is incredibly powerful for creating social media graphics, simple logos, presentations, PDFs, & even basic videos. For example, use their templates to create a consistent set of Instagram post designs to showcase your coaching packages. I still use it extensively in my business!

Carlene's Tip: Don’t aim for perfection, aim for ‘good enough & professional’. Canva has amazing templates – use them! A consistent look & feel, even if very simple, goes a long way. Remember, your unique brilliance is in your coaching, not necessarily in being a graphic design whizz from day one.

Phew! That might still seem like a list, but trust me, by consciously choosing the right foundational tools – & keeping it beautifully simple – you're taking personal responsibility for creating a streamlined, efficient business from day one.
