Let’s be brutally honest for a moment, lovely. How many hats are you wearing right now? One of the biggest mindset shifts we need to make as female entrepreneurs is to reframe delegation. It’s not about admitting you “can’t cope.” It’s about acknowledging that, as CEO, your most precious resource is your time & energy, & you have a personal responsibility to invest it wisely. You wouldn't expect the CEO of a major company to be personally booking every meeting or designing every social media graphic, would you? So why do we, as founders of our own brilliant enterprises, often hold ourselves to that impossible standard?

I remember being neck-deep in my MBA at Cranfield, with my six-year-old just a baby. My partner was an absolute rock, but there were still only 24 hours in a day. I thought I had to do it all myself – the late-night study sessions, the early morning baby feeds, trying to keep the house from looking like a disaster zone. The idea of asking for help felt like failure. It wasn't until I nearly collapsed from exhaustion that I realised asking for help, starting with someone to just blitz the kitchen once a week, wasn't weakness; it was strategy. It was buying back precious time & energy I could then pour into what only I could do. That lesson stuck with me & became foundational when I built Femmeprenista – understanding what only I should be doing as CEO.

Strategic delegation is about consciously designing the architecture of your business. It’s about working smarter, not just harder – a principle I live & breathe. It’s about intelligently allocating tasks so that you can focus on the high-level, visionary work that truly moves the needle: strategy, innovation, building key relationships, & leading your team (even if that team is just you & a VA for now!). This is about taking radical personal responsibility for your growth & impact. It’s a powerful act of leadership that strengthens your focus & allows you to steer your business with greater clarity & intention.

Just last week, I was launching a new mini-course, & completely dropped the ball on scheduling social media. I was so focused on the course content, the tech setup, & the million other things that go into a launch that the social media promotion just didn't happen. Crickets! I felt so frustrated with myself. Then, I realised I was doing exactly what I tell my clients not to do! I immediately delegated the scheduling to my VA, even though I felt a bit silly admitting I'd forgotten. Guess what? Sales picked up within hours. It was a powerful reminder that even I need to delegate consistently & that asking for help isn't a weakness; it's smart business.

Conquering the Mindset Monsters: Why We Resist Letting Go

Okay, so intellectually, we know delegation is a good idea. But if it were that easy, we’d all be doing it perfectly, wouldn’t we? The truth is, there are some hefty mindset monsters that often stand in our way. Sound familiar?

  • The Perfectionist Gremlin: “No one can do it as well as I can.” This little voice whispers that if you want it done right, you have to do it yourself. It’s a tough one, especially when you’ve poured your heart & soul into building your business.

Actionable Fix: List three tasks where “good enough” is better than “perfect”. Then, for each, define exactly what "good enough" looks like. For example, if it’s social media scheduling, “good enough” might be: "posts scheduled 3 days in advance, even if the captions aren't as witty as I'd personally write them."

  • The Control Chimera: This monster thrives on the fear of losing control. What if they mess it up? What if they don’t represent my brand properly? What if… what if… what if?

Actionable Fix: Create a detailed Standard Operating Procedure (SOP) for a task you're nervous about delegating, focusing on clear brand guidelines. Include specific examples: “Use Canva template X. Font must be Montserrat, colour palette Y. Approved images are in Google Drive folder Z.”

  • The "Quicker to Do It Myself" Fallacy: Sometimes, yes, in the short term, explaining a task might take longer than just doing it. But this is a dangerous trap that keeps you stuck in the weeds forever.

Actionable Fix: Track how long you spend on a repetitive task for one week. Then, calculate the cost of your time & commit to delegating it within a month. For example, if you spend 5 hours a week on email admin & your time is worth £50/hour, that's £250 a week!

  • The Guilt Ghost (especially for us Mums!): This one whispers that asking for help – whether in your business or at home to free up time for your business – is somehow selfish or a sign you’re not coping. Urgh, mummy guilt is a powerful beast!

Actionable Fix: Schedule 30 minutes of guilt-free "me time" this week & consciously enjoy it, reminding yourself that you deserve to recharge. Plan something specific you genuinely love: a hot bath with a trashy magazine, a walk in nature, or a phone call with a bestie.

For years, I told myself ‘no one can reply to my client emails like I can.’ I was convinced my ‘personal touch’ was irreplaceable. Truthfully? I was a perfectionist terrified of letting go. It took a heart-stopping moment, seeing an urgent client email I’d missed while trying to fix a printer jam & comfort a teething toddler simultaneously (we’ve all been there, right?), to realise my ‘perfect touch’ was becoming a perfect bottleneck. That was a wake-up call to trust others & build systems for that personal touch instead. I remember one time, I delegated creating social media graphics, confident I’d given clear instructions. I came back to find images using Comic Sans font, a font I loathe & that was totally off-brand. It was a disaster! I wanted to scream. But instead, I took a breath, realised I hadn't been nearly clear enough in my brief, & used it as a lesson to create super-specific brand guidelines. It took me a long time (& a few hard lessons!) to get comfortable with this. Honestly, it wasn't easy! Overcoming these mindset blocks is crucial. It’s about building a resilient CEO mindset – one that understands that your role is to lead & orchestrate, not to do every single thing. Here are a few ways to start taming those monsters:

  1. Start Small: Delegate one tiny, low-risk task this week. See how it feels. Build your confidence.

  2. Reframe Your Thinking: Instead of “losing control,” think “gaining capacity.” Instead of “it’s quicker myself,” think “investing time now to save much more time later.”

  3. Focus on the Outcome, Not Just the Process: Does it really matter if someone else folds the marketing flyers slightly differently, as long as they get to the event on time & look professional? (Probably not!)

  4. Embrace Imperfection (Gasp!): Sometimes “good enough” done by someone else is far better for your business’s growth than “perfect” done by an exhausted you.

  5. Remember Your Why: Why did you start this business? Was it to be chained to your laptop 24/7, or to create impact, freedom, & a life you love? Delegation is a key to unlocking that bigger vision.

This inner work, strengthening your resolve & overcoming those limiting beliefs, is fundamental to being an effective leader & truly scaling your impact.

What Should You Delegate?

Think about your tasks in these categories:

  • Things You Dislike or Drain Your Energy: If bookkeeping makes you want to cry, or social media scheduling feels like pulling teeth, these are prime candidates.

  • Things Outside Your Zone of Genius: You’re a brilliant strategist/coach/designer/creator. Are you also a whizz at video editing or complex tech integrations? If not, someone else probably is!

  • Repetitive, Time-Consuming Tasks: Anything that can be systemised & done by following a clear process – data entry, appointment scheduling, basic customer service replies, uploading blog posts.

  • “£10 an Hour” Tasks: These are the tasks that need doing, but don't require your unique CEO-level skills. Your time is better spent on “£1000 an hour” activities like strategy, sales, & high-level client work.

Who Can You Delegate To?

The possibilities are broader than you might think:

  • Your Team (if you have one): Are there tasks you can pass to existing employees or contractors?

  • Virtual Assistants (VAs): VAs can be lifesavers for busy entrepreneurs, handling everything from admin & customer service to social media & tech support.

  • Freelancers & Specialists: Need a graphic designer, copywriter, or podcast editor for specific projects? There are amazing freelancers out there.

  • AI-Powered Systems & Automation: Don’t forget the power of technology! Many repetitive tasks in marketing, scheduling, & even client communication can be streamlined or automated using smart AI tools. This is all about leveraging technology to create more efficient systems. (Fusion).

How to Delegate Effectively (The Secret Sauce!)

This is where many delegation efforts fall flat. Just dumping a task on someone isn’t delegation; it’s abdication, & it rarely ends well!

  1. Be Crystal Clear: Define the task, the desired outcome, & any specific processes or standards. Don’t assume they know what’s in your head! When I first brought on a VA, I nearly drove us both mad with vague instructions. ‘Just handle my social media,’ I said. Disaster! It wasn't until I sat down, recorded a Loom video of exactly how I brainstormed content, my preferred tone, even the emojis I liked, & created a shared Trello board with clear tasks & deadlines, that things clicked. That initial investment of a few hours to create a system for delegation saved me countless hours & headaches down the line.

  2. Set Expectations (& Deadlines!): What does success look like? When does it need to be done by? Be specific.

  3. Provide Resources & Authority: Do they have the tools, logins, & information they need? Do they have the authority to make decisions within certain parameters?

  4. Trust, But Verify (Especially at First): Give people space to do the work, but have check-in points, especially when they’re new to a task. This isn’t micromanaging; it’s supportive oversight.

  5. Create a Feedback Loop: Make it safe for them to ask questions. Provide constructive feedback (both positive & for improvement). Regular communication is key.
