One minute you’re knee-deep in strategic planning (or trying to be!), the next you’re negotiating with a tiny human about the merits of wearing actual clothes, or perhaps refereeing an energetic debate between your furry family members. And somewhere in that whirlwind, there’s this ever-present whisper (or sometimes a roar): “You needneed to be creating content!”

If you’re anything like I was, & like so many of the incredible women I work with, that whisper can quickly turn into a source of major overwhelm. But here’s what my journey – from corporate life through my MBA, into entrepreneurship with four little ones underfoot, & now deep into my PhD research – has taught me: a smart, flexible system isn’t about stifling creativity. It’s about unleashingunleashing it consistently. It’s about giving your brilliant ideas the structure they need to see the light of day & make a real impact, all while winning back precious time & energy for your other CEO duties &, crucially, for your life.

The ‘Aha!’ Moment: Why a Content System is Your Secret Weapon

Let’s be honest, as ambitious women, we’re often trying to do all the thingsall the things. And when content creation feels like yet another spinning plate, it’s easy for it to wobble & crash. I remember vividly those early days, pre-system. I’d have flashes of inspiration – maybe while trying to soothe a crying baby at 3 AM or during a rare quiet moment with a cuppa. I'd scribble them down, full of enthusiasm. But then life would happen. The toddler would decide my important notebook was a new colouring book, or the demands of client work & family life would simply push those brilliant-but-disorganised ideas to the bottom of an ever-growing pile. The result? Frustration, inconsistency, & a nagging feeling that I wasn’t showing up & sharing my message as powerfully as I wanted to. You know that feeling, right?

Oh, and let me tell you about the time I was recording a "quick" video on the power of delegation (irony alert!), only to discover, mid-sentence, that my toddler had re-arranged my carefully curated backdrop to include a mountain of slightly-used nappies. While mortifying, it became my most-watched piece of content that month! See, that’s the beautiful chaos that highlighted my need to get a grip and get a system. That moment, where I was trying to teach a high-level business principle surrounded by thatthat, crystalized the need for a robust structure behind the scenes so my message wouldn't be eclipsed by... well, nappies!

The real shift came when I realised that to truly make my mark & connect with my audience in a meaningful way, I needed to work smarter, not just harder. It wasn’t about finding moremore hours in the day (because let’s face it, those are gold dust!). It was about creating efficient processes that would allow me to channel my creative energy effectively, ensure my marketing efforts were strategic & authentic, & even leverage technology to streamline the workload. This isn't just about ticking a box; it's about building momentum & ensuring your valuable insights actually reach the people who need to hear them. But I wasn’t an overnight system queen, oh no! I recall one disastrous month where, armed with a shiny new planner & the best intentions, I meticulously scheduled content only to completely ignore it for weeks. Turns out, a rigid system that didn’t allow for my Gemini-brain’s need for variety was doomed from the start! That humbling experience taught me that flexibility & self-awareness are just as crucial as structure.

Here’s the workflow I’ve honed over the years – one that’s helped me stay visible & valuable, even amidst the beautiful bedlam of raising a family & growing a business. And the best part? It’s adaptable. Take what resonates, tweak it, make it your own.

Step 1: Strategic Ideation – The 'Brain Dump' with Purpose

This isn’t just about jotting down any old idea. It’s about a strategicstrategic brain dump.

  • Tune into Your Audience: What are their biggest pain points, questions, dreams, & desires? What conversations are already happening in their minds? Your content should aim to meet them right where they are.

  • Align with Your Mission: What’s the core message of your business? What impact do you want to make? Every piece of content should, in some way, reinforce your 'why'.   • Categorise Your Ideas: Think in terms of content pillars or themes. This helps ensure a well-rounded content strategy that covers different facets of your expertise & your audience’s needs. Keep a dedicated digital note (like Trello, Asana, or even a simple Google Doc) or a physical notebook specifically for content ideas. When inspiration strikes (even if it’s mid-nappy change!), capture it immediately.

Step 2: Batch-Planning – Your Content Calendar Command Centre

Once you have a bank of strategic ideas, it’s time to plan. Batch-planning is a game-changer.

  • Monthly or Quarterly Themes: Decide on overarching themes for the month or quarter. This helps to create cohesive messaging.

  • Map Ideas to Dates: Slot your ideas into a content calendar. Decide which topics will become blog posts, social media updates, videos, etc.

  • Work in Focused Blocks: Dedicate a specific time slot (even if it’s just an hour or two) to plan out your content for the coming weeks. I know finding uninterrupted time can feel like searching for a unicorn when you have little ones, but even short, focused bursts are more effective than trying to plan on the fly every day. Perhaps it’s during naptime, after bedtime, or by strategically swapping childcare with your partner or a friend.

Step 3: Efficient Creation – Batching Like a Boss

This is where the magic of batching truly shines. Instead of creating content piece by piece, day by day, you dedicate blocks of time to create in bulk.

  • Write Multiple Posts: If you’re blogging, try outlining several posts in one session & then fleshing them out in another.

  • Record Multiple Videos/Audios: If video or podcasting is your thing, set up your recording space & batch-record several episodes at once.

  • Create Graphics in Batches: Design your social media graphics for the week or month in one go using tools like Canva.

Quick Clarity Tip:

Feeling stuck? Try talking out your ideas into a voice recorder first. Sometimes, hearing yourself speak can unlock the flow. Or, start with a simple outline – bullet points are your friend! This is all about making the creation process smoother & more efficient, allowing your unique voice & expertise to shine through without unnecessary friction. For example, I often use this to create 3-5 drafts, & then I pass these over to the AI to make them sound like an authentic, fun blog post (this entire article started out as bullet points!). And another thing to keep in mind is that when creating content, it is all about quality. Just take it from my teenage daughter, who always says, "Quality is more important than quantity!"

Step 4: Smart Repurposing – Multiply Your Message (Not Your Workload)

This is my absolute favourite "work smarter, not harder" strategy! One core piece of high-value content can be repurposed into dozens of smaller assets.

  • Blog Post to Social Media: Pull key quotes, tips, or summaries from a blog post to create multiple social media updates.

  • Video to Blog & Audio: Transcribe a video to create a blog post, & extract the audio for a podcast episode.

  • Webinar to Guide: Turn a webinar presentation into a downloadable PDF guide or a series of email tips.

  • Quotes to Graphics: Transform insightful quotes into shareable images.

Think about how you can intelligently use tools or even delegate parts of this repurposing process to truly streamline your efforts & amplify your reach without burning yourself out.

Step 5: Scheduled Publishing & Consistent Engagement

Once your content is created & repurposed, it’s time to get it out there consistently.

  • Use Scheduling Tools: Platforms like Buffer, Hootsuite, Later, or even the native scheduling features on social media platforms are your best friends. Load up your content & let them do the work.

  • Show Up Consistently: Consistency builds trust & keeps you top-of-mind. A system makes this achievable, even on your busiest days.

  • Engage Authentically: Content isn't a one-way street. Make time to respond to comments & engage with your audience. This is where real connections are built.

I hear this a lot! "Carlene, this sounds great, but I'm just not a systems person. I'm more creative & spontaneous." Trust me, I get it. As a Gemini, I thrive on new ideas & variety! For a long time, the word 'system' felt like it would box me in.

But here’s the reframe that changed everything for me: systems are not about restriction; they are about liberation. A good system creates the spacespace for your creativity to flourish because it handles the repetitive, energy-draining parts for you. It means when those brilliant, spontaneous ideas strike, you have a framework to capture them & give them life, rather than watching them fade away in the daily rush.

  1. Identify Your "Energy Leaks": What tasks consistently drain your time and energy withoutwithout bringing you joy or significant results? These are prime candidates for systemization or delegation. For example, if scheduling social media feels like a chore, explore scheduling tools or consider outsourcing it.

  2. Start with "Micro-Systems": Don't try to overhaul your entire business overnight. Instead, focus on creating small, repeatable processes for specific tasks. Batch-planning your content for just one week is a great starting point.

  3. Embrace Imperfection and Iterate: Your first system doesn't have to be perfect! The key is to start, test, and refine as you go. Seek feedback from trusted colleagues or clients to identify areas for improvement. Remember my early disaster with the too-rigid planner? I learned from it & created something far better!
